What is a phone bot?
A phone bot is a software-based assistant that answers and handles telephone calls automatically. Modern phone bots understand freely spoken language, recognise the request and respond in natural language – instead of just playing a key-press menu.
The term phone bot is often used interchangeably with voicebot or AI phone assistant. In every case it means a system that takes calls without human intervention. A classic phone bot followed rigid scripts and key-press menus (IVR); an AI phone bot, by contrast, understands freely phrased sentences and holds a real conversation.
In business use a phone bot takes appointments, reservations or service enquiries, answers recurring questions around the clock and passes the important parts to the team in a structured way. A company stays reachable even when no one is free – with no hold music and no busy signal.
Technically, an AI phone bot works in three steps: speech recognition converts what is said into text, a large language model understands the request and formulates the answer, and speech synthesis outputs it as a natural voice – usually in under a second, so the conversation feels fluid.
For European companies, privacy is the deciding factor when using a phone bot: where is speech processed, and is there a transparent AI announcement as required by the GDPR and the EU AI Act? Empfango is such a phone bot – speech processing runs on EU servers, every call begins with a clear announcement about AI use and recording, and call audio is not stored permanently.
