Automate on-call duty – escalation that doesn't end on voicemail
The night guard drops out, the gritting crew has to go out, the property manager reports an emergency. Empfango answers the call, forwards it to the on-call person on record and escalates when nobody picks up.
Automating on-call duty means the call does not land on a private mobile but with Empfango, which answers, records the situation and forwards it to the person currently responsible according to your on-call plan. If that person does not answer, the call goes to the next stored number after about 25 seconds. If nobody answers there either, Empfango takes a callback note and notifies the on-call team via WhatsApp, Telegram or email. Every call sits in the dashboard with timestamp and transcript. Dispatchers in the security industry have, according to job adverts, “on-call duty at least one week per month” and must “organise cover for absences” (sicherheit-nord.de, bob-security.com, as of 10/2026). Empfango takes the first stage off their hands: answering, recording, connecting.
When automatic escalation kicks in
Night guard drops out
At 11:50 pm an employee reports that the relief has not turned up. Empfango records site, shift and callback number and forwards the call to the duty operations lead. The colleague on site doesn't have to try ten numbers; Empfango rings the on-call person. Who steps in is decided by the operations lead.
Winter service alert
The property manager calls at 5:10 am: black ice in front of the office complex, not yet gritted. Empfango records site and address, grades the report as urgent by your rule and forwards it to the winter service on-call. If nobody answers, a message with all details goes out immediately, and the call is documented with the time.
Fault outside office hours
A client reports water damage on a Saturday. Empfango uses your rules to decide whether the report goes straight to on-call or waits as a case until Monday. Routine wakes nobody; emergencies get through.
How Empfango reaches the on-call person
Forwarding with ring timeout
Empfango forwards to the stored on-call number and waits about 25 seconds. If the on-call person answers, the caller is connected. If not, the caller stays with Empfango and does not end up on the on-call person's voicemail.
Next level or callback note
If a second number is stored, Empfango tries that one. After that, Empfango takes a callback note with name, site, request and callback number and notifies the on-call team via WhatsApp, Telegram or email. The caller knows the report has arrived.
Transcript as proof
Every call sits in the dashboard with timestamp, summary and transcript: when the report came in, what was reported and where Empfango passed it on. That is the evidence that the report was taken and forwarded.
Setting up automated on-call duty
Store the on-call numbers
Enter the on-call number, optionally a second level, and define which requests get forwarded. If on-call rotates weekly, change the number in the dashboard or use a fixed on-call number that you redirect internally.
Rules for routine and emergency
Describe what is forwarded immediately and what waits as a case until the next working day. Empfango applies these rules during the call. A quote request at 2 am wakes nobody.
Activate call forwarding
Your on-call or office number forwards to Empfango outside office hours. Staff and clients keep dialling the number on the roster.
Automating on-call duty: why the on-call voicemail is the problem
On-call duty only works if the call actually reaches someone. In practice a private mobile set to silent rings, and the caller lands on voicemail. The employee on site tries the next number; the client hangs up. secplaner.de describes the consequence for security firms: if the only night guard drops out and nobody steps in, the colleague cannot leave the site and works a second eight-hour shift (as of 10/2026).
Empfango changes the first stage. The call is always answered, whatever the time. Empfango first records what it is about and decides by your rules whether on-call gets woken. Then Empfango forwards and stays on the line until the on-call person answers or the ring timeout of about 25 seconds expires. The caller hears no voicemail and does not have to escalate on their own.
Escalation runs in levels you define. First level: the current on-call person. Second level: another stored number, such as the operations lead. Final level: callback note with all details and immediate notification via WhatsApp, Telegram or email to the on-call team; via webhook also to your alerting or rostering software. No report gets lost, even when every number is busy.
What Empfango does not take on: Empfango does not know your roster and does not look for cover. It does not call staff on its own and does not connect to alarm systems. Empfango makes sure the report is answered, recorded and handed to the right person. The decision who steps in or goes out stays with your operations lead, who receives a complete report instead of a missed call.
For clients and tenders, the evidence matters. Every call has a timestamp, summary and transcript. You can prove that the report was answered at 11:52 pm and handed to on-call. If you use LiteLog, reports additionally land directly in the LiteLog portal at the affected site; without LiteLog, the Empfango dashboard remains your evidence.
On-call and GDPR: protecting private numbers, proving calls
With Empfango the on-call person's private number is no longer on the roster or with the client. Callers dial your company number; Empfango forwards internally. On-call staff stay reachable without handing out their mobile number.
Every call starts with a fixed announcement that an AI assistant is speaking and whether the call is recorded; the wording is hard-coded and meets Section 201 of the German Criminal Code (StGB), Art. 13 GDPR and Art. 50 of the EU AI Act. By default no audio is stored permanently; the transcript remains as evidence and can be deleted.
Processing runs in EU regions (Deepgram EU for speech-to-text, Azure OpenAI EU as the language model), voice output via ElevenLabs is covered by a DPA. All sub-processors are listed in the privacy policy, and the DPA is included in every plan.
